Privacy Policy

1. What we collect

  • Account data — your name, email address, password (stored as a salted hash, never in plain text) and timezone.
  • Learning data — your level, goals and availability preferences from onboarding, bookings, reviews and messages with tutors.
  • Shipping address — only if course books are sent to you, used solely for that delivery.
  • Payment data — handled by our payment provider; Wavelength never stores full card numbers.

2. How we use it

To run the service: matching you with tutors, scheduling in your timezone, processing payments, sending transactional email (booking confirmations, lesson reminders, cancellations, shipping updates) and keeping the platform safe. We do not sell your personal data, and we do not send marketing mail without your consent.

3. Video lessons

Lessons run through our video infrastructure provider. Rooms are private to the lesson's participants and expire after the lesson. Lessons are never recorded: no video is kept, by us or by our providers.

To give both people lesson notes, the words spoken in a lesson are transcribed. Each person's microphone is captured in short pieces during the lesson, sent to a speech-to-text provider, and deleted as soon as the text comes back — typically within the hour. The transcript and the notes written from it (a summary, vocabulary and corrections, in English for the student and Japanese for the tutor) are kept with the lesson for as long as the accounts exist. The classroom shows when transcription is on.

Transcription is on by default. A student can switch it off for all their lessons in Settings; with it off, nothing is captured on either side. Tutors cannot switch it off. A student can also delete their own copy of any lesson's notes and transcript; the tutor's copy remains, as their record of the lesson they taught. Without a transcript, Wavelength has no record of what was said and cannot help resolve a dispute or report about a lesson.

4. Who sees your data

Your tutor sees your name, learning goals and messages — what they need to teach you — and the transcript and notes of each lesson you had together. Service providers (hosting, database, email, payments, video, speech-to-text and the AI model that writes the notes) process data on our behalf under their own safeguards. We disclose data beyond that only when the law requires it.

5. Retention and deletion

We keep your data while your account is active. You can request a copy of your data or deletion of your account by contacting us; records we are legally required to keep (such as payment records) are retained for the mandated period.

6. Cookies

Wavelength uses a single essential session cookie to keep you signed in. No advertising or cross-site tracking cookies are set.

7. Changes

If this policy changes materially we will announce it on the site or by email before the change takes effect.
